We collect only the information necessary to provide you with safe, coordinated, and effective Wellness and Rehabilitation services.
Contact Information
Your name, email address, phone number, and location — collected when you book a consultation or contact us directly.
Health and Consultation Information
Symptoms, health history, lifestyle details, physical concerns, reports, and any other health information you share during intake or consultation. This information is used solely to support your care.
Scheduling Information
When you book through our website via Day Schedule, your name, email address, and scheduling preferences are collected by Day Schedule under their own Privacy Policy. We receive confirmation details to coordinate your appointment.
Intake Form Information
Svaparna Health collects intake information through Google Forms. Completed intake forms are stored securely within our Google Workspace infrastructure. For adult clients, intake forms are completed by the client. For minor clients (under 18 years of age), intake forms are completed by the parent or legal guardian on behalf of the minor.
Payment Information
Payment transactions are processed by third-party payment processors — Razorpay for clients in India and PayPal for clients in the United States and internationally. We do not store, access, or retain your payment card details. All payment data is handled directly by the relevant payment processor under their own security protocols.
Technical Information
Standard website analytics tools may collect your IP address, browser type, and page interaction data to help us maintain and improve the Site. This data is not linked to your personal health information.
3. How We Use Your Information
Your information is used exclusively to:
- Schedule, confirm, and manage your appointments
- Conduct assessments and deliver Physiotherapy services and Ayurvedic Wellness services
- Communicate with you regarding your care, follow-up, and any changes to your appointments
- Issue invoices and process payments
- Maintain accurate client records in accordance with professional and legal standards
- Comply with applicable laws and regulatory requirements in India and the United States
We do not use your information for marketing purposes without your explicit consent.
4. Data Storage and Infrastructure
All client data, including intake forms, consultation notes, and correspondence, is stored securely within Google Workspace (G Suite) — a professional, enterprise-grade cloud infrastructure operated by Google LLC.
Specific storage details:
- Intake forms are created and collected via Google Forms
- Form responses are stored in linked Google Sheets within our Google Workspace account
- Consultation notes are stored in Google Docs within our Google Workspace account
- Client correspondence is managed via Gmail using our professional domain email
- All Google Workspace data is stored on Google's secure, encrypted servers
Google Workspace operates in compliance with international data security standards including ISO 27001, SOC 2, SOC 3, and applicable data protection regulations. Svaparna Health limits access to stored client data to Dr. Aparna Sekhar only. No third-party individuals or organizations have access to your data stored within our Google Workspace infrastructure.
5. Telehealth and Communication
Video Consultations: Online consultations are conducted via Google Meet. All video and audio transmissions are encrypted in transit. We do not record any sessions without your prior explicit written or verbal consent. Svaparna Health does not authorize screen recordings of any session content beyond short exercise demonstration segments. Recording of clinical assessment discussions, health history review, or any non-exercise content is strictly prohibited without prior written or verbal consent from Svaparna Health.
Email Communication: All email correspondence is managed through secure Google Workspace infrastructure using a domain-specific professional email account. We communicate via email for appointment coordination, payment confirmation and follow-up communication.
WhatsApp Business: For appointment coordination, payment confirmation, and follow-up communication, we use WhatsApp Business as well. While WhatsApp uses end-to-end encryption, it is not a clinically certified secure platform. By communicating with us via WhatsApp you acknowledge and accept this limitation. For sensitive health information we recommend using our secure professional email channel wherever possible.
6. Third-Party Platforms We Use
Svaparna Health uses the following third-party platforms to operate our services. Each platform operates under its own privacy policy and security standards:

We do not sell, rent, or trade your personal or health information under any circumstances.
Your information may be shared only in the following limited circumstances:
- Service Providers: Trusted third-party platforms including Day Schedule, Google Workspace, Razorpay, and PayPal — used strictly to operate our scheduling, communication, payment, and data storage systems. These providers are bound by their own privacy and security policies.
- Legal Requirements: Where required by applicable law, court order, or regulatory authority in India or the United States. We will notify you of any legally required disclosure where permitted to do so.
8. Payment Security
Indian Clients — Razorpay: Payments from Indian clients are processed via Razorpay, a PCI-DSS compliant payment gateway regulated by the Reserve Bank of India (RBI). Your payment details are handled directly and securely by Razorpay. Svaparna Health does not store, view, or access your card or banking details at any point.
US and International Clients — PayPal: Payments from US and international clients are processed via PayPal, a globally recognized, PCI-DSS compliant payment processor. Your financial information is handled directly by PayPal under their Privacy Policy and security protocols. Svaparna Health does not store your payment details.
9. Data Retention
We retain your personal information and consultation records for 7 years following your last consultation with Svaparna Health. This period reflects professional record-keeping standards and applicable legal obligations in both India and the United States.
For minor clients, records are retained for a minimum of 7 years following the last consultation or until the minor reaches the age of 25, whichever period is longer.
Following the applicable retention period, your data is securely deleted or permanently anonymized within our Google Workspace infrastructure.
10. Children's Privacy and Specialised Physiotherapy Services for Minors
Svaparna Health offers specialised Physiotherapy services for children 5 years of age or older, specifically addressing Pediatric Bowel and Bladder concerns including constipation, bedwetting, and related conditions.
10.1 Parental and Guardian Consent
All consultations involving a minor (any individual under 18 years of age) require a parent or legal guardian’s assistance. The parent or legal guardian must:
- Complete the Physiotherapy Intake Form via Google Forms, providing the minor's health history and relevant background information.
- Be present for all consultations involving the minor, whether in-person or online
We do not provide services to minors without verified parental or legal guardian consent under any circumstances.
10.2 Data Collection for Minor Clients
For clients who are minors, personal and health information is collected from and about the parent or legal guardian as the primary account holder. Information collected includes:
- Parent or guardian's full name, contact details, and relationship to the child as part of emergency contact information on the intake form.
- The child's name, date of birth, and relevant health history.
- Clinical session notes and progress records relating to the child's care.
All information is collected via Google Forms and stored securely within our Google Workspace infrastructure. All personal and health information relating to minor clients is treated with the same strict confidentiality standards applied to adult clients.
10.3 Data Retention for Minor Clients
Clinical records relating to minor clients are retained for a minimum of 7 years following the minor's last consultation, or until the minor reaches the age of 25, whichever period is longer.
10.4 Parental Rights Regarding Minor Client Data
Parents and legal guardians have the right to:
- Access all health and personal information held by Svaparna Health relating to their child
- Request correction of any inaccurate information
- Request deletion of their child's data subject to applicable legal and professional record-keeping obligations

10.5 General Website Use
Our website is not directed at children and does not knowingly collect personal information directly from individuals under 13 years of age through website interactions. All data relating to minor clients is collected through the formal intake and consent process managed by the parent or legal guardian via Google Forms.

All Clients: You may withdraw consent for us to hold your data at any time. Please note that withdrawal of consent may affect our ability to continue providing services to you.
